Criminal Record Check

Criminal Record Checks are to be completed immediately after the applicant accepts an offer of admission and at least 3 months prior to the start of the program.  The process may take up to several weeks.  Failure to submit the required documentation by the specified deadline may result in the withdrawal of an offer of admission. Applicants or students who have a criminal record may have their offer of admission withdrawn or may be required to withdraw from the program.*

DOMESTIC STUDENTS:  This is NOT a police criminal record check.  Criminal record checks from other provinces are not accepted.

INTERNATIONAL STUDENTS: As a condition of admission, the School of Social Work will need receive a criminal record check directly from the applicable reporting agency in your home country.  Immediately after you begin residing in Canada, you will be required to complete the B.C. Ministry of Public Safety and Emergency Services criminal record check as outlined below.

There are 3 ways to submit a criminal record check to the School:

1) Complete the online new application for a criminal record review (quickest, and preferred method)

PLEASE NOTE: The online process for a new criminal record check allows applicants to share their criminal record check results with anyone they choose free of charge (e.g. practicum agency, etc.) over the entire period in which the criminal record check is valid (normally 5 years).  The manual process (i.e. sending in the form by fax/mail) does not allow for results to be shared.

The access code provided below is required to request a new criminal record check online:

Online Link: https://justice.gov.bc.ca/eCRC/home.htm

Access Code: ZTRPVY3M2Q  (this code must be used to ensure the results are delivered directly to the School rather than elsewhere at UBC)

2) Share the results from a valid criminal record check you completed previously

Organization ID# 978756  (this ID # must be used to ensure the results are delivered directly to the School rather than elsewhere at UBC)

3) Only if neither of the above are available to the applicant*, complete a manual application for a criminal record review

Please be aware that every year some applicants, when completing the criminal record check application process online, receive an error message stating they are not eligible to submit the application online.  However, many students who contact the BC Ministry of Public Safety and Emergency Services for assistance when they receive the error message are then able to complete the process online.  The online process provides the greatest advantages to the student, a future practicum agency, and the School so, if at all possible, this is the preferred method to submit your criminal record check.

If the online process does not work, please contact the BC Ministry of Public Safety and Emergency Services to confirm whether you will need to submit your criminal record check application via the manual process: http://www2.gov.bc.ca/gov/content/safety/crime-prevention/criminal-record-check/contact.  If you must complete the manual application, please be aware the process normally takes much longer than completing the process online or sharing your previous results.  Thus, it is important to start the process as early as possible.
